Privacy Policy

Edugate ("we") is committed to protecting the privacy and personal data of our users. This policy describes how we collect, use, store, and protect your information when using the Edugate platform.

1. Information We Collect

1.1. Account Information

  • Full name, email, phone number when registering a center account.
  • Center name, address, tax ID (if applicable).

1.2. Operational Data

  • Student, teacher, class, and schedule information entered by the Customer.
  • Financial data: tuition, income/expenses, invoices.
  • Teaching materials: lessons, videos, attachments.

1.3. Technical Data

  • IP address, browser type, operating system.
  • Access times, pages viewed, usage behavior (analytics).
  • Cookies and similar tracking technologies.

2. How We Use Information

  • Provide, maintain, and improve Edugate services.
  • Process registrations, authenticate accounts, and provide customer support.
  • Send operational notifications: schedules, attendance, tuition via Zalo OA and Email.
  • Analyze usage trends to enhance user experience.
  • Comply with applicable legal requirements and regulations.

3. Data Security

  • Infrastructure: Data is stored on Amazon Web Services (AWS) with AES-256 encryption at-rest and TLS 1.2+ encryption in-transit.
  • Row-Level Security (RLS): The database implements RLS to ensure each center can only access its own data.
  • Authentication: Passwords are hashed using bcrypt. Two-factor authentication (2FA) is supported for admin accounts.
  • Backup: Data is automatically backed up daily, stored for a minimum of 30 days.

4. Information Sharing

We do not sell, rent, or share your personal data with third parties, except:

  • Service providers: AWS (infrastructure), Amazon SES (email), integrations actively connected by the Customer (Zalo OA, Zoom, SePay...).
  • Legal requirements: When requested by competent government authorities under Vietnamese law.

5. Data Ownership

  • Customers own all data they enter into the system (students, finances, lessons).
  • Customers may export their data at any time.
  • Upon service termination, Customers have 30 days to export data before permanent deletion.

6. Cookies and Tracking

  • Essential cookies: For authentication and login sessions. Cannot be disabled.
  • Analytics cookies: Google Analytics to understand usage behavior. Can be disabled in browser settings.

7. User Rights

You have the right to:

  • Access and view your personal data.
  • Request correction of inaccurate information.
  • Request deletion of your account and related data.
  • Opt out of marketing emails (if any).

8. Policy Changes

We may update this Privacy Policy from time to time. Significant changes will be communicated via email or system notification at least 15 days before taking effect.
